Account terms and privacy
Version: 24 October 2026. Service: Spec Book. Contact [email protected].
Account terms
Patients, doctors, other supported health providers and authorised practice managers can create a free account. Directory access does not require registration. Accounts do not guarantee appointments or establish professional registration. Bookings, clinical messaging, referrals and patient-record tools are not open.
Use accurate details, keep your password private and register only for yourself or a practice you are authorised to represent. Claiming a profile requires review of your identity and connection to the listing. Claim approval does not automatically approve clinical claims or other practitioners' profiles.
Submit only services you actually offer, accurate fees and qualifications, and material you are entitled to publish. Profile changes are reviewed before publication. Provider-supplied information is labelled accordingly. Do not submit patient details, health records, misleading treatment claims or confidential third-party information.
We may restrict accounts for abuse, impersonation or unauthorised access. Features may change or be paused. Future fees or changes to these terms will be communicated before you choose to use affected services. You can request account closure through support. These terms do not exclude rights or remedies that cannot lawfully be excluded.
Privacy notice
What we collect and why
We collect your name, email, account type and, where relevant, profession and practice name to create and administer your account. Passwords are stored as salted hashes. Claim requests may include professional registration or membership numbers, authority declarations and correspondence used to verify your connection. Security and activity logs help protect accounts and review changes.
Required account details are supplied by you; without them we cannot create an account. Registration is voluntary. No patient health information is needed. Approved service descriptions, fees, qualifications and other submitted profile details are intended for public display; account emails, passwords and private verification submissions are not published in the directory.
Your personal care workspace
When signed in, your saved care team, saved searches and appointment preparation are stored encrypted in your account so you can open them on another device. These entries are private and are not published in the directory or sent to a practice. Enter your own information only. A preparation plan does not book or confirm an appointment.
Without signing in, these tools save information in this browser, where other people using it may see the information. Browser saves are copied to an account only when you choose Import browser saves. You can remove entries or clear synced care data from My care; this removes the current saved document contents, while backups and security logs may have separate retention. Unsynced edits need this page to remain open. Optional local referral and medication tools are not included in account syncing.
Optional reminders
If you enable reminders, we store your private reminder title encrypted, along with the schedule, time zone, chosen delivery channels and delivery status. Email requires confirmation of your account email. Push requires permission on each device; its subscription endpoint is encrypted in storage. Notification text is generic and does not include your medication or appointment details. Resend delivers reminder emails; your browser notification service processes push delivery. These services may process information overseas.
Pause or delete reminders in My care. Deleting a reminder removes its current record and delivery history; backups may retain copies separately. Delivery records expire after 30 days. Stop push on this device to remove its subscription. Clearing your care team or deleting an appointment plan does not stop reminders: manage reminders separately. Alerts may be delayed or blocked and are not suitable as the only reminder for time-critical medication.
Service providers and storage
Authorised Spec Book staff review account and claim details. Cloudflare provides hosting and database services, and Resend processes account email delivery. Hosting, email delivery and support processing may occur overseas. We do not promise Australian-only storage.
Retention, access and correction
Account, claim and security records are retained for service administration and protection. Contact support to request access, correction, account closure or to raise a privacy concern. We may need to verify your identity. Deletion may be limited by backup, security or legal retention needs. You can also contact the Office of the Australian Information Commissioner.
Spec Book is not medical advice or an emergency service. In an emergency, call 000.
